GENERAL DESCRIPTION OF POSITION
The Finance Specialist – Administrative Services performs clerical duties required to support the
day-to- day activities of the Administrative Services Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Maintains Administrative Services supply inventory and prepares order as needed;
• Serves as point of contact for all requisitions needed for Administrative Services
department;
• Reconciles Vendor statements monthly;
• Maintains records of all contracts for the City, uploads into Laserfiche for
transparency;
• Sorts and distributes the mail to the appropriate departments;
• Prepares directives, bulletins, schedules, and agendas and transcribes Finance
Committee meeting minutes;
• Maintains city administrative records and files;
• Serves as back-up to and relieves City Hall Receptionist for breaks, vacation, etc.;
• Serves as back-up for Accounts Receivable, Accounts Payable, and A&P Coordinators as
needed;
• Other duties as assigned.
QUALIFICATIONS
• Associate’s degree in Accounting, Business Administration or related field;
• Two (2) to Three (3) years’ administrative support experience preferred;
• Knowledge of Accounting principles preferred
• Proficient in MS Office;
• Energetic personality with strong interpersonal communication skills;
• High attention to detail and accuracy;
• Strong sense of ownership and initiative, collaborative and flexible attitude.
